Administrative Assistant - Home Health

Provide administrative support to the Administrator and Director of Clinical Services. Maintain accurate client records required by State and Federal regulations for all clients.  This is a safety sensitive position.

  • Answer phones and direct callers as necessary or requested
  • Enter all Visits, Missed Visits, and Missed Shift reports into Billing and/or Employee software in a timely and efficient manner
    • Fax missed visit reports as necessary
    • Act as back-up for entering Private Duty notes – when directed by Management
  • Fax/attach fax confirmations/scan/track:
    • Physician orders
      • Notify Clinical Director if signatures are not received within one week to remain in compliance
    • Plans of care (POC)
    • Face to Face sheets
    • Coordination of care to all providers once signatures obtained
    • D/C, transfers, and Internal discharges
      • Follow up as needed or required on all of the above (re-faxing, follow-up phone calls, etc.)
    • Other documents as necessary
  • Stamp all originals with faxed stamp date and make copies
    • Place originals in corresponding boxes to be filed
  • Ensure all filing is completed daily or as needed
  • Create boxes for all closed charts and prepare boxes for archiving
  • E-mail DDD Case Managers signed POCs in a timely and efficient manner
  • Make copies of all necessary documents, mail them out to the client’s home, and track as necessary or required
    • 2 copies of each signed POC
    • 2 copies of each Individual Emergency Preparedness Plan
    • Other documents as necessary or required
  • Run AHCCS verification reports twice per month on ALL clients, and place copies in binder
    • Email Business Manager once completed with results of this task
  • Annually, schedule PAC meeting and take comprehensive minutes during meeting
  • Work with Clinical Director as necessary or directed to schedule quarterly QAPI meeting
  • Biannually, verify all physician licenses (March and September), and as necessary for all new physicians
    • Maintain accurate and complete tracking system and records for verifications
    • Notify the Clinical Director and Administrator immediately of any issues with license verification
  • Annually, create consent packets for case managers to re-distribute to all patients
  • Check fax machine at the end of each shift to ensure it’s cleared of all incoming faxes and that any documents left on the machine are distributed appropriately
  • As directed by Management, or when all above work is completed, this position will also assist as needed with:
    • Scheduling applicant interviews and reference checks
    • Placing calls to nurses for any compliance issues or missing notes
    • Other duties as assigned
  • Attend training sessions required by the company

Minimum Qualifications:

  • High School Graduate or equivalent
  • Five years previous clerical/administrative experience in healthcare field
  • High degree of professionalism
  • Ability to deal sensitively with confidential information
  • Strong interpersonal communication skills
  • Working knowledge of Microsoft Office Suite
  • Must be at least 18 years of age
  • Must be able to maintain a Class 1 Fingerprint Clearance Card
