Customer Service Rep

Job Description

The Inside Sales Rep will be responsible for answering sales calls and interacting with new, existing, and potential customers. Responsibilities will include, but not be limited to taking sales requests, entering order information utilizing the inventory tracking software and generating sales orders and picking tickets. Additionally, Inside Sales will communicate with customers regarding product inquiries, shipping issues, returns, etc. They will act as the liaison between accounting, shipping/receiving, upper management and our clients. The Inside Sales Rep must work closely with the COO/President, Sales Director, Shipping/Receiving, Quality Systems and Accounting departments.

  • Answers calls and responds to customer requests/inquiries.
  • Maintains accurate customer contact information.
  • Takes orders from customers via telephone, fax and/or email.
  • Initiates all sales orders and creates a picking ticket based on available product using current inventory tracking system.
  • Has knowledge of product line/product codes, prices, delivery time, drop-ship items and similar data as required.
  • Work with Sales Director and/or COO/President to maintain accurate sales and product pricing on all sales orders and in inventory software.
  • Provides customers with product and service information.
  • Resolves billing or service complaints and refers grievances to designated departments for investigation.
  • Maintains control of tissue utilization/tracking records (TTRs) and files appropriately in a timely manner.
  • Maintains extensive knowledge of current inventory tracking system and is able to input appropriate contact information.
  • Maintains knowledge of current Tissue Return Policy and assigns Return Authorization # to customers on acceptable returns.
  • Performs a quality control check on outgoing shipments to ensure accuracy.
  • May be required to enter product information into inventory tracking software.
  • May be required to assist the Shipping/Receiving Supervisor with packaging shipments to meet distribution needs.
  • Comply with FDA, AATB, OSHA, cGTP, and state rules and regulations at all times.
  • Assists the Quality Systems Director with tissue returns.
  • Complete all necessary safety and job specific training and re-training on an annual basis.

Skills & Responsibilities

  • High School Graduate or higher.
  • Previous experience and knowledge related to customer sales, service, order entry and fulfillment is required.
  • Must be computer literate with the ability to learn customer service software applications.
  • Work requires strong telephone communication and writing skills.
  • Work requires the mental ability to gather information and formulate solutions.
  • Work requires ability to multi-task.
  • Familiarity with medical terminology and human anatomy a plus
  • Strong interpersonal skills and the ability to work both independently and as part of a team required
  • Must be task oriented, have a strong attention to detail, and ability to exercise independent judgment and analytical thinking required.
  • Knowledge of FDA regulatory compliance, HIPAA, cGMP and cGTP requirements is preferred.
